How to move warehouse accounting from Excel to a system

If stock doesn’t add up, the problem isn’t the people — it’s the tool. A step-by-step migration plan.

Many businesses start warehouse accounting in Excel — that’s natural. Problems begin when you have more than a hundred items and several people edit the same file.

When is it time to switch?

  • Stock doesn’t match at least once a week
  • Stocktaking takes more than a day
  • You have several warehouses or branches
  • Losses from expired goods are noticeable

Migration plan

First clean up the catalog: duplicates, different names for the same item and obsolete positions. Then define the bin structure, and only then import stock levels.

A good system doesn’t create order — it preserves it. That’s why the first step is cleaning the data.

The final stage is staff training and a week of parallel work. After that you can drop Excel completely.
